The Simple, Affordable Upgrade From Key-Locked & PIN Pad Cabinets
Electronic Medication Storage Cabinets
CAREDirect's digital medication storage cabinets are specifically designed and priced for healthcare facilities looking to upgrade from their key-locked storage units or rudimentary keypad cabinets for their medications. When facilities want to enhance their medication storage process to a digital solution, there simply aren't many options that they can afford. Most electronic medication storage systems are designed and priced only for the hospital space. In contrast, we developed our cabinets specifically to replace the mechanically-locked cabinets that serve as a hassle and security risk to healthcare facilities.
Medication Security
- Double lock narcotics
- Prevent drug diversion
- Track all staff access and activity
- Each bin locks separately to help restrict and monitor access to contents
- Comply with DEA, ADA, CDC, NFPA, HRSA and Joint Commission standards
- Wall mounted to avoid taking up valuable floor space
Individually Locking Compartments
Our cabinet allows for healthcare facilities to affordably transition from key-locked cabinets and lockers to a digital system. Each bin is electronically secured with customized access to tailor the bin to the specific contents it holds. If you're securing narcotics or high-value meds in a particular bin, you can digitally double lock that bin. On top of that, you can track how much of your inventory each person takes. If you're holding simple comfort medications in one bin, you can customize it for quick access without as many controls and security. It's this flexibility that makes our system easy to implement for your specific needs.
Track All Staff Activity
With inventory management, any time an employee logs into the cabinet and unlocks a particular compartment, the system makes sure to identify that specific individual and their actions. Each staff member has a unique login so that they're immediately identified by the system. In addition, administrators can also see exactly which medications are being interacted with. So they can see what that user is doing with each specific med. All tracking can be performed from your computer with our cloud reporting system.
Customize User Access
Since each compartment locks separately, you can also customize user access for each individual bin. Moreover, you are able to change user types depending on that staff member's role within your organization. For example, assistants won't be able to access storage compartments with drugs in them. Instead, they can only access compartments with supplies. In contrast, you can attribute higher access to nurses and licensed professionals so that they can access medications, while still not having the permissions to edit system settings on the cabinet. As a result, you can tailor your staff to fit your policy and procedures.
Touchscreen Interface to Perfectly Accommodate Storage of High-Alert Medications
- Unique pin codes allow for access by each staff member to be easily identifiable and tracked
- Medication inventory can be listed with tall man lettering to help distinguish between look-alike, sound-alike drugs
- Administrators can monitor their inventory and activity levels for all high-alert medications whenever convenient
- The touchscreen's workflow ensures that staff comply with company policies on safety and compliance that comes with high-alert drugs
--- With paper record systems, there's increased risk of users ignoring regulations
--- With high-alert meds, the consequences of missing any safety measurement can be significant and serious
- Training on using the touchscreen interface takes minutes
Double-Locking Medication Cabinet
What items can be double locked?
- Narcotics
- Normal meds
- High-value supply items
- Custom items (allow you to create and name any type of item you wish)
- Standard supply items
ID Badges
ID badges can be paired with secondary pin codes to create genuine two-factor authentication when accessing controlled substances. Users simply need to scan their badge to identify themselves. Then, they'll enter their personal pin code (usually four digits) to access the narcotic. This meets all regulations for controlled substance storage. The cabinet scans the badges using universal RFID technology. ID badges can be provided by CAREDirect, or you can use pre-existing ID badges or key fobs that your staff may already be using. Pre-existing badges or fobs need to be registered once, which only takes one simple swipe.
ID cards can help with security of medications that are double locked through two-factor authentication. Through this process, staff members use their ID badges to scan into the system, identifying themselves to the cabinet. Then, users can use their personal pin code. The multi-digit code serves as the secondary lock, with each user having a unique pin code so that staff members can't take each other's badges and access controlled substances under another employee's name.
There are facilities that opt out of using ID badges completely, and instead choose to use pin codes exclusively. So, if your facility does not use scannable ID badges or fobs for staff and don't want to obtain CAREDirect's ID cards, you can always choose to not use this part of the system. CAREDirect's double locking cabinets are designed to be flexible and complimentary to a wide variety of workflows.
Pin Codes
Pin codes are entered using the cabinet's touchscreen. Pin codes allow facilities to utilize the cabinet and go completely keyless when desired. Since ID cards are optional, staff can use pin codes exclusively to access the cabinet's system. The unique pin codes for each user allow everyone accessing the cabinet to be easily identifiable. The number of digits for each pin code can be customized to any length to fit your workflow.
Many customers enjoy the convenience of PIN codes because they can't be lost or misplaced like an ID badge or other physical key can. With the ability to always carry around your credentials, PIN codes provide significant security improvements. On the chance that an employee's PIN is compromised or forgotten, changing that user's PIN can be done from an administrator's computer or on the cabinet itself. This process takes less than a minute to perform. As a result, your medication security system never has to be at risk for extended periods of time, even if an administrator isn't present at the facility to access the cabinet.
Inventory Tracking
- Track any drug that is taken from the cabinet
- Attribute drugs or high-value supplies to specific patients
- Maintain real-time levels of any specific item in the cabinet
- Perform electronic counts of meds to eliminate paper controlled substance logs
- Record waste, returns, restocks, and countbacks
- Coordinate witnessed counts in the morning & evening
Drug Inventory Management Software
CAREDirect's drug inventory management software employs an intuitive touchscreen to provide users with a system that digitally tracks and counts all medications.
Cabinet Diagram
A diagram of the cabinet allows for a simple layout that staff can immediately understand and work with. The layout quickly delineates each individual bin. Each bin locks separately and must be specifically selected. Bins can be labeled however you'd like: by drug, by patient, by staff member, or any other category that you'd prefer.
Medication Tracking
To access any bin, the user must input what they are going to do with that specific drug. Before the bin unlocks, the user must select the specific medication and specify the destination of where that drug is going. Is it going to a specific patient? Is one staff member giving it to another to administer? Is a staff member returning, wasting or stocking meds? All of these types of actions are recorded by the cabinet's software.
Inventory Counting
The system can perform morning and evening medication counts that many facilities require of their staff each day. Drug inventory counts can be structured so that an employee must have another witness sign in to authorize the count. Both user signatures will then show up in the system's reports.
User Access
The cabinet's software manages all users to make sure only authorized staff have access. Administrators assign different user types with various permissions so that only appropriate staff members can access specific bins.
Cloud-Based Reporting
- Sync users, drugs, and staff activity to the cloud
- Access your reports from any web browser
- Manage settings across multiple cabinets, locations, and facilities
- View supply & drug usage on a system level across multiple facilities
- Electronic reports replace medication paperwork needed for controlled substances and 340B drugs
Any activity done on the cabinets is digitally recorded and synced to the cloud in real time. Then, from any tablet, computer or other electronic device, you can view all drug activity and inventory levels in any web browser of your choosing. All data and reports are easy to read and retrieving specific data for a particular day or week is completely straightforward. Introductory training on the cloud-based system takes just 30 minutes.
Medication inventory management no longer requires piles of paperwork to maintain accurate counts of which drugs went where.
From your Computer:
- View and maintain medication inventory levels
- Quickly construct your medication list with our system that pulls drug information directly from the FDA database
- Create users and customize permissions
- Export reports as PDF, Word, or Excel documents and print reports with ease
- Customize how often medications must be counted by staff to maintain consistent count accuracy
- Decide which drugs are double locked
- Change the unit of measurement (vial, tablet, mg, mcg, etc.) for medications based on the situation
- Example: staff can pull medications by the vial, but may want to waste meds in micrograms
- Generate reports for specific days or weeks
- Manage multiple cabinets
Stop Recording your Medication Inventory Log on Paper
Instead of recording which staff member takes out a drug for each specific patient or other destination on paper, our system automatically records that data to build digital records in real time. These records can be immediately accessed by an administrator. Paper logs for medications are usually pretty tight on space. There's a lot of information that needs to fit on an 8.5 x 11 inch sheet of paper. Usually that leaves virtually no room to make notes or clarify any special circumstances for any particular incident. Sometimes an interaction with a medication needs clarification. With our system, staff can make notes on any transaction that then show up on the web-based reports. This helps immensely with record keeping as you don't have to work within the constraints of a standard sheet of paper. Notes can be as long and descriptive as necessary.
Print or Export as PDF, Word, Excel
CAREDirect's digital medication inventory logs allow administrators to view activity across all cabinets for all staff members from any browser. You can see what specific type of activity each individual is performing (giving meds to a patient, wasting a med, etc.). You can check inventory levels for all of your drugs from your reports and see which daily reconciliations have not been performed. The reports can be easily exported as PDFs, Word documents, or Excel spreadsheets for audits. In addition, looking for and displaying specific dates or weeks of activity takes just a few
Since CAREDirect's digital medication storage cabinet logs all activity and syncs to the cloud, administrators can manage their cabinet, reports, users, medications, and general settings and notifications from any computer or other electronic device. No downloads are needed, as everything can be accessed from any web browser.

- This helps users find the meds they need quickly and easily
- You can name your bins from your computer
In today's healthcare space, there are really two distinct options for drug storage. Hospitals almost universally use the very large, expensive ADC systems. In contrast, most smaller healthcare facilities (entities that don't have a dedicated pharmacy) go with key-locked cabinets. Many healthcare professionals, perhaps even most, would agree that the systems found in hospitals are superior to rudimentary, key-locked cabinets. But, in many ways, it's a moot point as the ADC systems in hospitals are too complex and pricey for anything other than rather large entities. As a result, there's a wide gap between the simple systems and the digital software/hardware that can drastically help with medication storage and tracking.
Our cabinets fill that void within medication storage and security by providing an electronic platform that's specifically priced for smaller entities that don't need the large systems found in hospitals.
